TheImpact:

This position is essential to the functionality of the CEO s office by assisting the office manager in running the office smoothly while welcoming and directing guests and requests. This position contributes to the image of our business unit, by displaying cooperation, openness and willingness to assist at all times.

Responsibilities:

  • Meet and greet all visitors with apositive,happydisposition,alwayswithasmile, hang coats, offer refreshments, register guests and escort them to the appropriate conference rooms and offices.

    • Be the right hand and main back up for Office Manager - EA to CEO:*

    Coordinate meetings, catering orders, visa procurement, order car service, and occasional travel during her absence.

  • Address and send packages via courier, mail or messenger. Receive all mail and parcels and distribute as necessary.

  • Oversee lunch orders with vendors and audio-visual services with internal AV staff.

  • Open and follow-up on service requests, liaise with Facilities staff on issues such as maintenance requests, equipment repair, deliveries, etc.

  • Process monthly expense report using Concur.

    • Order and maintain office supplies as well as water and beverages for client - executive fridge, including stocking daily.

    • Miscellaneous office support duties (e.g. craft labels, make and organize files, scan - copy - organize documents, etc.)

Basic Qualifications

  • You are phenomenal with Microsoft Suite (highly proficient in Outlook and Word, and you have intermediate experience in Excel and PowerPoint). You are also proficient or have the ability to quickly learn Concur expense system.

  • You have excellent communication skills. Clear and proper diction, professional yet concise communication style

  • Because of constant exposure to clients, investors and senior level management, a professional, well-kept appearance is important.

    • Associate s degree - completed secretarial training or experience equivalent strongly preferred. If you have at least 2 years experience in a corporate environment, that would be ideal.
  • Because of its high visibility, punctuality and consistent attendance for this role is required; you have experience handling highly confidential information.
