Job Description

As an Administrative Assistant, you will perform diverse secretarial duties and administrative functions for a team of principals, requiring extreme confidentiality, initiative and the ability to make sound decisions. You have a project mindset, excel in a client-facing role, and are computer savvy with intermediate to advanced skills in PowerPoint and Excel. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. Duties also include: time zone sensitive meeting coordination, extensive global travel arrangements, event and meeting coordination, answering phones, processing expenses, reviewing incoming correspondence/emails and preparing responses. This role will also provide onsite support for visiting seniors and provide back up support to peers in addition to working closely with UK peer.

Hours are 7:30am – 4:30pm EST (flexibility to work additional overtime, as needed)


• Proactive management of complex global calendars; experience scheduling meetings across multiple time zones and preparing corresponding deliverables

• Client facing position, internal and external

• Shared phone coverage for a busy group, involving significant interaction with clients and senior members of the firm

• Coordinate domestic and global meetings, conference calls, telepresence set up, often involving a global audience

• Finalize complex global travel arrangements: coordination of flights, visas, accommodation and ground transportation logistics following Company’s Policy

• Become integral part of the business, understand group priorities and expectations

• Prepare expense reports in a timely manner, while adhering to the company’s expense policies and procedures

• Assist with overflow, special projects and peer back-up coverage

• Assist with various projects, as directed

• Maintain familiarity with all policy and technology updates


• Proficiency within the Microsoft Suite, and intermediate to advanced knowledge of PowerPoint and Excel

• Ability to learn procedures and proprietary systems quickly

• Savvy with Internet/Intranet usage

• Experience with Concur Expense preferred

Qualifications :

• Exhibit a high degree of motivation, sense of urgency and professional demeanor

• Experience managing multiple calendars, including a busy executive global calendar

• Strong interpersonal skills; excellent listening, oral and written communication skills

• Aptitude for working in a fluid, fast-paced work environment; flexible, adaptable, able to effectively manage shifting priorities to meet business demands; sense of urgency

• Ability to act diplomatically and respectfully when communicating with key internal and external clients, and employees of varying levels of seniority

• Absolute tact and discretion when dealing with confidential matters; proven experience interacting with senior management

• Highly organized and a keen attention to detail

• Analytical and problem-solving skills; initiative and confidence to complete projects with limited supervision; escalate when appropriate and in a timely manner

• Thorough knowledge and understanding of travel logistics

• Motivated by a collaborative environment and willing to go the extra mile

• Ability to be an integral member of the team
