Position Summary:

The Senior Document/Presentation Specialist creates and revises complex documents and templates productively, effectively and efficiently. They can utilize current boilerplates in accordance with solicitation/contract requirements. Ensure consistency of layout, editing, styles, and compliance of requirements throughout the life of the project cycle. Revise graphics in Power Point or InDesign graphics software as well as inserting and placement of graphics. Partners with authors, editors and graphics staff on text, document files and organizes/updates network folders according to standards. Assignments include complex financial statements, government proposals, SharePoint formatting, presentations, proposals, and publications. The Sr. Doc Specialist demonstrates in depth knowledge of firm standard applications and Microsoft Office technology. This position is responsible for building and maintaining customer relationships; anticipating needs and offering options and solutions. It also requires responsibility for all phases of project management including customer service, proper documentation, and effective communications.

Essential Functions of the Job:

Demonstrates superior knowledge and expertise in Microsoft Office products in creation of complex customer deliverables (i.e., application of master pages, creation of templates and table of contents, management of styles, bookmarking, hyperlinking, XML, field codes and macro development.)

  • Handles high profile, complex projects requiring interaction with all levels within the organization

  • Ability to create and work on existing Microsoft Office based and Acrobat customer deliverables

  • Incorporates revisions, checks punctuation, spelling, EY style and formatting; may check mathematical accuracy; set up and execute large/complex mail merges in Word and InDesign

  • Prepare files for digital output and duplication, initial text typing, creating and editing template-driven customer deliverables per brand standards with speed and accuracy

  • Adheres to Creative Services Group (CSG) standard electronic file management and archiving procedures

  • Trains team members on firm standard software and available to coach/mentor Document Specialists

  • Provides excellent customer service; by managing timelines, budget, project scope, providing cost estimates, and coordinating with outside vendors

  • Understands and anticipates customer’s needs to exceed expectations.

  • Maintain updated information in all necessary tracking systems to ensure that accurate statuses are communicated to internal parties and that all pending items are resolved in a timely manner.

  • Applies and strictly adheres to EY’s quality and branding standards

  • Must possess sound interpersonal and information gathering skills, being able to relate well to others at all levels throughout the organization and have the ability to work in a team environment, effectively interacting with others.

Knowledge and Skills Requirements:

  • Exceptional customer service and strong project management skills

  • Advanced knowledge of complex document layout; color, managing text, tabular data and images

  • Advanced expertise in Word, Excel and PowerPoint, including styles and macros

  • Proficient in InDesign, and knowledge of other digital applications (SharePoint)

  • Speed and exceptional attention to detail

  • Proficient in statistical typing of numbers, text, tables, etc., for long periods of time

Supervision Responsibilities:

  • Competent to work independently within established procedures. Performance and work are reviewed periodically

Other Requirements:

  • Overtime required as necessary especially during busy season and often on a last-minute basis. May be required to work off-site or travel.

Job Requirements:

Education:

  • Associate's degree, Microsoft Office certification or equivalent work experience.

Experience:

  • Approximately 6-8 years of related experience. Prefer some experience working with graphic applications, such as InDesign. Background in Accounting/Finance industry preferred

Certification Requirements:

  • Microsoft Office certification - a plus
