The Team:

This manager role is responsible for an operations team that executes Platts commercial and non-commercial events in the Americas region. They will manage and track a multi-million dollar budget, while delivering a high-value onsite experience. The EO Manager and team will work closely with content producers, sponsorship and exhibit salespeople, field marketing and audience acquisition.

The Impact:

This is a professional meeting planner position who leads such a team to represent our company during events. Critical to success is punctually managing the expense budget, collaborating with strong stakeholders and creating innovative and unique onsite experiences against a challenging environment.

Responsibilities:

This role requires overseeing site selections, negotiating contracts, executing logistics and delivering, food and beverage planning, event specifications, vendor management, managing event budgets and other essential performance metrics, with final expense reconciliation.

  • Manage workload and bandwidth of two other event planners on the team, as well as managing the event request process (and tool) with event producers and field - channel marketers.

    • Research and coordinate site selection for events (RFPs). Review and negotiate vendor and hotel contracts, and prepare event specifications to include; lodging, food and beverage planning, authorize banquet event orders, AV requirements, transportation and other required logistics
  • Primary liaison to event exhibitors and sponsors. Create and disseminate service kits, collect artwork - advertisements & company details for event mobile app, manage exhibit booth specifications and collect complimentary conference passes per signed agreement

    • Travel to domestic and international event locations to manage registration, onsite logistics and provide customer service. 10-12 events per year

    • Manage various vendor relationships to support events including onsite staffing, shipping and printing accounts, giveaway items and signage.

    • Compile and disseminate event financial information and essential performance metrics on a timely basis. Track and maintain event budgeting and provide final event billing reconciliation.

    • Build and develop event mobile apps to support conferences and some field marketing events. Stay up to date on mobile app technology and share new capabilities with wider conference team for implementation.

    • Continually measure and improve event activities and processes to meet or exceed goals.

What We re Looking For:

Basic Qualifications:

  • Degree in hospitality management, business, marketing or related field; or equivalent combination of education and experience in industry

  • Is a Certified Meeting Planner (CMP)

  • 5 years experience in event planning, with vendor management and negotiation and event registration systems

  • Managing, tracking and reporting on event budgets, invoices, receipts (all payments)

  • MS Office specifically Excel

  • Cross-border customs, courier and shipping general knowledge

  • Ability to perform well and in a calm and professional manner while managing strict deadlines

  • Strong negotiation skills

  • Excellent oral and written communication skills and strong interpersonal skills

  • Must be able to manage multiple events in a fast-paced environment

  • Ability to travel 25% of the time; some weekend travel required

  • Ability to act as a first point of contact for internal stakeholders and external customers

  • Proven administrative, organizational and problem solving skills

  • This individual should have, or possess the ability to, build strong relationships across the organization and demonstrate effective negotiation and influencing skills

  • Team leader who inspires collaboration and comradery within and beyond immediate team

Preferred Qualifications:

  • Familiar with CrowdCompass mobile app, and Cvent registration system

  • Has managed a portfolio of a dozen events, domestic and global

  • Has a passport

  • Experience executing high-profile, complex events such as awards, week-long conferences
