The Product Owner for Email Productivity is responsible for all aspects of EY’s end user email experience. The role is aimed at maximizing the value of desktop email technology, both at the strategic and tactical level. This includes assessing & enabling Office 365 email features at enterprise scale, overseeing the quality of the desktop email experience and improving people’s productivity by implementing innovation.

The Product Owner oversees a range of Microsoft technologies such as Outlook, OWA, Unified Messaging Voicemail and Calendaring. They will leverage a wide network of internal and external stakeholders to plan, design, implement, market and support the desktop email service. The role requires a passion for email and collaboration technologies and excellent Product Owner skills, but does not need a deep technical product knowledge.

Essential Functions of theJob:

Candidates for this rolemust have relevant experience in the following categories:

In general, this role oversees a range of email desktop products and features such as Microsoft’s email clients (Outlook, OWA, Windows mail app), Outlook voicemail (Unified Messaging), Outlook add-ins, Contacts, Calendaring, integration with third party systems like Room Bookings, email security features like DLP etc.

Specifically, the following Product Owner responsibilities are key:

Service Planning and intake

  • Puttingin place a service strategy and associated roadmap for email features andproducts.

  • Maximizingthe value of Office 365 email products through review of feature pipelines androadmaps. Making assessments on enterprise implementation.

Service Quality and value

  • Directinga continuous process of innovation to improve the quality of EYs email services,and to make people more productive. Thisincludes ideation, prototyping, assessing business value, solution design andultimately implementation.

  • Responsiblefor Operational stability and quality of the service, working with the relevantOperations support teams.

  • OverseeingManaged Services provided by vendors around Outlook client engineering, projectdelivery and operations.

  • Drivingan agenda of continuous improvement of existing email features through workingwith Microsoft on product enhancements.

User satisfaction and adoption

  • Ensuringa high-quality customer interaction (marketing materials, user documentation,communications etc)

  • Reportingon KPIs around adoption, quality and user satisfaction and translates this intoaction plans to increase value

Project Delivery

  • Planning,budgeting, and sponsoring investment projects relating to email products(implementations of new capabilities and associated testing, marketing,implementation and adoption management) . Accountable for the timely deliveryof the investments within the planned budget.

  • Directingmonthly service portfolio review meetings with stakeholders to guide investmentbudget and scope management of projects.

  • Overseeingthe team’s activities to meet deliverable dates for next generation services inaccordance with roadmap and agreed feature enablement.

Financial Management

  • Managingthe financial aspects of projects and operating the service. This includes planning and tracking projectfinancials, managing budget line items relating to the email service, invoicechecking and signoff, analyze the financial impact of service changes, managerisks and opportunities to the financial plan.

  • Directingthe metrics on total cost of ownership (TCO) for the Services utilizing actualReturn on Investment (ROI) product financials and other cost metrics.

Analytical/DecisionMaking Responsibilities:

The role requires a strong background in IT product management. The Product Owner will agree the service strategy with leadership, and oversee the design, implementation, marketing and adoption management of the various products they own. They will be an authority on email productivity, and establish a network of relationships with internal IT teams, software vendors (notably Microsoft), managed service providers, Information Security and customer representatives.

Knowledge and SkillsRequirements:

  • Passionate about end user technology. Able to recognize great products or featuresand translate these into enterprise implementations working with technicalteams (Engineering) and non-technical teams (Communications, Marketing etc)

  • Strives to create a great user experience. Empathizes with the customer, understands howthey use the technology, where the gaps are and how different user personasmight have different needs.

  • Can identify success criteria for the service and measurableKPIs indicating adoption, satisfaction etc.

  • Can prioritize and manage the backlog of features based onthe service strategy and a range of external dependencies such as roadmaps ofother upstream services.

  • Projects well-defined consultative skill to conduct effectivequestioning, hone in on key directives to formulate ideas and materials as wellas present those ideas clearly and concisely to all levels of the organizationincluding senior and/or executive management.

  • Utilizes all aspects of Emotional Intelligence to navigatethe interactions and complexities of the business environment and driveleadership performance in oneself and in others.

  • Brings proven expertise of messaging end user technology.

  • Maintains solid reporting and executive presentation skills.

  • Proven experience in Service and Project Delivery

  • Manifests a strong analytical and problem-solving ability toescalate and negotiate complex and conflicting change issues, handle multipleand shifting priorities across a broad spectrum of operating environments anddrive solutions that are both financially sound and operationally feasible.


This role is expected to have a small number of direct reports. In addition, it will oversee services provided by software vendors and Managed Service Providers.

Assigned staff may be remote based and/or in a work from home setting that will require distance management skills across locations, cultures and time zones.


The role may also require the periodic allocation of additional time on the job to support multiple demands and escalating issues and some travel to support change or planned project activities.


Bachelor or Master degree in Computer, Information Technology or equivalent experience.


Approximately 10 years of experience in a comparable role -
