As the GES Senior Analyst,youwillberesponsiblefor:
Supporting all Business Units and Education Solutions team while conducting Regional educational events as well as contract relations and financial support to Healthcare Professionals (HCPs) and/or GO, in compliance with policies.
Assisting with regional events paid for through the Miami office with documents, reports and contracts, interacting with US compliance officers, corporate and franchises to ensure policies and cross-border requirements are understood.
Managing and controlling Open Payments to Sun Shine Act event report from US HCPs event report, including Puerto Rico and other regional events.
Assisting internal customers with documents required to get access to HCP educational events and reviewing documents submitted by Business Unit/Professional Education (ProfEd) to meet internal policies established in the process with the HCP interaction, keeping Company’s system updated with HCP interaction documents.
Reviewing educational activities assigned budget and incurred expenses, following up and reconciling process with Sales Representatives/ProfEd and document delivery to close out events as well as identify event’s critical compliance situations, to escalate and inform if necessary.
Guiding internal customers through event’s logistics including quotes for hotels, transfers, catering, printed material etc. for a successful event in Puerto Rico or another applicable region.
Negotiating and obtaining quotes from local providers to get best cost-benefit within compliance parameters as well as register and pay new suppliers in ARAVO and any other required system.
Reconciling documents and financials of educational events (Proof of attendance and invoices), as well as ensuring they follow company policies and Hierarchical Condition Categories (HCC) guidelines.
Providing information to generate financial, Health Intervention in nontraditional settings (HINTS) and other required reports and review event’s budget vs incurred expense and be responsible for Open Payments Report.
Guaranteeing that interactions with HCPs and education events are performed per HCC and Company Policies and generating event’s reconciliation process as well as time fulfillment reports established in Service Level Agreements.
A minimum of a Bachelor’s Degree is required, with a focus in business administration, marketing, accounting or other related fields preferred.
Two (2) plus years of professional administrative experience is required with preferred experience within coordination, marketing and accounting in the healthcare and/or pharmaceutical industry.
Experience working within regulated environments dealing with compliance processes is highly desired.
Must be computer literate in the Microsoft Office (Word, Excel, PowerPoint and Outlook); proficiency with debt collection software (eg. Totality) and supplier information management systems (eg. ARAVO) programs is highly preferred.
Ability to work without supervision and be a self-starter is required.
Must be willing to commit approximately 10% of travel – local within Puerto Rico and the United States.
Bilingual ability in English and Spanish is required.
